An EU funding readiness checklist for small organizations
Start with the official call, not a generic promise of funding. Programme rules, applicant countries, required partners, deadlines and eligible costs differ. This checklist helps you identify unanswered questions; it does not decide whether your organization qualifies.
1. Verify the exact call
Open the official topic page and download the current call documents, amendments and application template. Record the identifier, deadline and time zone. An EU-wide topic is not evidence that every applicant country is eligible.
- Applicant legal form and eligible countries checked.
- Required partnership composition checked.
- Application language, submission system and deadline confirmed.
2. Connect the idea to a real need
Describe the people affected and the evidence you already have. Explain which call objective your work addresses. Do not turn an unsupported assumption into a claimed statistic.
Write a short chain from activity to output to intended outcome. Keep promised results proportional to your staff, time and access to participants.
Activity: run four locally adapted workshops.
Output: tested learning materials and attendance records.
Intended outcome: participants can complete a defined digital task, assessed with a simple before-and-after exercise.
3. Check capacity and financial assumptions
Assign a responsible person for delivery, finance and reporting. Build a first budget from real activities and check the call's cost model, co-financing rules and payment conditions. Do not assume a universal reimbursement percentage or grant amount.
- Staff time and availability documented.
- Cash-flow and any own contribution discussed.
- Required registration and supporting documents identified from the call.
4. Make a go / no-go decision
List the remaining uncertainties with an owner and a resolution date. Seek clarification from the official contact point where needed. If a key eligibility condition cannot be confirmed, do not describe the application as eligible.
Before submission, have someone outside the writing team check consistency across activities, budget, partner roles and attachments. Keep a copy of the final submission and confirmation.
